Identify both the part and its machine
A photograph helps the search but does not establish complete identity. The card should include manufacturer, full part number, revision, machine model and serial number, parent assembly and function. One equipment family may contain different variants. Previous orders and stock labels help, but their connection to the actual machine needs checking. Mark unknown fields as “to be confirmed”; keep inferred codes separate from verified information.
Fields for each product category
SKF distinguishes the basic designation from prefixes and suffixes identifying design features. Do not shorten the final part of the code. Other product categories also require their own identifying attributes.

The same dimensions do not establish equivalence
In an illustrative comparison, two bearing offers have the same dimensions, but one omits the complete suffix. Request the suffix and manufacturer documentation before ranking prices. If the response is simply “compatible”, ask which characteristics were compared. Where an alternative is needed, the supplier lists the differences and the engineer responsible for the machine records approval or rejection.
Use the card again at receipt
Before ordering, confirm quantity and unit: one piece, one pair and one kit can have different contents. At receipt, compare product and packaging labels with the card and link agreed documents to the item. Record partial delivery and code changes separately. Retain the approved card for repeat orders, updating it when the machine configuration changes.
