Separate RFQs for heaters, elements and heat-transfer fluids
Heater assemblies, replacement elements and heat-transfer fluids need different inputs. Record electrical data, mounting and fluid compatibility as separate enquiry items.
Define the purchase boundary first
“Heater” can mean a complete assembly, a replaceable element inside it, or a catalogue item. Record the installed equipment, required item and supply package separately. Supplying an element does not automatically include a control panel, sensor or protective devices. A heat-transfer fluid is a separate working medium; its specification cannot replace the electrical data for a heating element.
Each category needs different information
Transcribe data from the nameplate and current drawing. Identify the source of dimensions and operating conditions; do not guess unreadable figures. Keep a photograph of the complete manufacturer code.

Split an incomplete enquiry into two items
Illustrative enquiry: “heater and thermal oil required” does not produce comparable offers. Attach the element label, mounting drawing and required package to the first item. For the second, record the exact installed fluid, its current technical data sheet and required quantity. Distinguish litres, kilograms and container count; do not treat these units as equivalent without a product-specific basis for conversion.
Approve alternatives against the system
Equal power or a similar trade name does not establish compatibility. Ask the offer to identify electrical, mechanical and material differences separately. For fluids, request manufacturer information and the SDS; the technical team responsible for the system decides on mixing or replacement. At receipt, compare the ordered code, actual label, package list and agreed documents. Installation, filling and commissioning require their own assigned responsibilities and approved procedures.
